Position Summary

Provides general secretarial duties and support to Directors; prepares communication, presentations and spreadsheets, addresses general correspondence; point of contact with external organizations and vendors. Attends to phone, file maintenance and daily calendar for executive meetings and conferences; coordinates travel arrangements, completes expense report for executive.

Essential Duties & Responsibilities

  • Provides general secretarial support to Directors, manages daily calendar and schedules meetings. 
  • Prepares general communication, presentation and reports.
  • Assists in preparation of presentations.
  • Compiles data and prepares general reports. 
  • Orders supplies and administers supplies, oversee supply expense.
  • Manages executive’s travel calendar and prepares itineraries, makes all necessary arrangements for meetings.
  • Prepares expense reports, reviews invoices, and prepares MACs.
  • Addresses general inquiries from other executives or external vendors.

Job Requirements


  • H.S. Grad or equivalent required.
  • Strong grammar and communication skills. 
  • Strong interpersonal and organizational skills.
  • Must be able to maintain strict confidentiality and discretion in dealing with issues of business & personal nature. 
  • Must be able to handle activities effectively under pressure & manage multiple tasks based on the defined deadlines. 
  • Minimum from three to four years of experience performing professional secretarial activities and administrative support to Director level position.
  • Experience in medium to large corporations desired.

Knowledge and Skills

  • Proficient in secretarial skills.
  • Strong organizational and administrative ability.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills to interact with executives, peers and employees.
  • Advanced level in MS Word, Excel, PowerPoint, Outlook and Concur.

Physical Demands

The physical demands described here are representative of those requirements employees must meet to perform the essential functions of this job with or without reasonable accommodations.  While performing job functions the employee is regularly required to sit, and stand, write, review and type reports, compile data, operate a pc, communicate, listen, and assess information.  The employee may move about the office complex, may travel to other office locations and may lift, push, pull or move 10-15 pounds. Visual requirements include distant, close and color vision, and ability to adjust focus.
