Job Description

Position Summary

The incumbent provides support to the Commodity Manager by processing orders for contracted items. They will also work with Commodity Managers, Accounting and suppliers to resolve invoices disputes or statement reconciliation.

Essential Duties & Responsibilities

  • Resolves non payable invoices through research and communication with Commodity Managers, Suppliers and Accounting.
  • Assist in supplier statement reconciliation.  
  • Assist in preparing supplier settlements.
  • Process supplier refunds through Accounting.
  • Assure that suppliers are listed in the Port Access Security System. 
  • May processes requests for goods and services through our procurement/maintenance systems with the use of SOP¿s, Road Maps, etc.
  • May process fleet visitor requests for suppliers/employees needing access to our ports/vessels.  - BCD
  • May process return material authorizations with suppliers.

Financial Responsibilities

$10,000 expenditure limit for purchase order adjustments. 

Job Requirements


  • High school degree or equivalent required. Associate degree or equivalent preferred. 
  • 2-3 yrs. of experience in an administrative role. 

Knowledge and Skills

  • Strong interpersonal skills and ability to communicate in a multicultural environment with all levels of employees and management.
  • Proficient with Microsoft Office products.

Physical Demands
