Job Description

Position Summary:
Provides general administrative duties to the Site Supervisor and Concierge Services for the guests at the extended stay hotel. Prepares communication, presentations and spreadsheets, addresses general correspondence; point of contact with external organizations and Facilities vendors. Attends to phone, file maintenance and daily calendar for meetings and conference.

Essential Duties and Responsibilities:
Coordinates the day-to-day maintenance of all building systems, including HVAC systems, lighting, life safety systems, Hotel asset management system, security systems, plumbing, Studio  AV systems, repairs to workstations/carpet/walls, landscaping, janitorial, vending, coffee service, etc.
Processes quotes for repairs and maintenance.
Assists site supervisor with the coordination of all corporate events taking place at Studio. 
Processes all employee requests and inquiries related to their work and rehearsal environments in the Studio. 
Processes all guest requests and inquires related to the management of the extended staff Hotel facility (similar to the front desk responsibilities at a hotel)
Processes the daily scheduling (reservations) of all Hotel rooms
Assembles the individual welcome packets for all entertainers; to include the programming of Hotel room card key, creation of individual company ID¿s and card access, company policies, etc; manage delivery of packets to employees prior to travel to Miami
Processes all parking; daily and long term parking needs with FIU; processes memberships to FIU wellness center.

Job Requirements

Qualifications:
H.S. Grad or equivalent required.
Strong customer service skills.
Good grammar and communication skills. 
Good interpersonal and organizational skills.
Must be able to maintain strict confidentiality and discretion in dealing with issues of business & personal nature. 
Ability to work effectively under pressure & manage multiple tasks and deadlines is required. 
Minimum from one to two years of experience performing general secretarial or admin responsibilities.
Some experience in medium to large corporations desired.
