POSITION SUMMARY:

Reporting into the Product Development Department, the Asst Project Manager will provide assistance to Project Managers with technical support, scheduling expertise, coordination, and Project management of Private Destinations projects.

The incumbent’s primary focus while working closely with the Project Manager, will be:

  • Identification and set-up of work breakdown structures for major project workstreams
  • Setting up and attending meeting on project manager’s behalf, as requested
  • Preparation of pre and post workshops, charrettes, agendas and presentations
  • Following up on schedules updates, communicating with architects, and ensuring drawings are updated.

Incumbent will assist in management tracking and upholding of processes and timelines for all island projects.  Will assist with bid documentation preparation for the scope of works, including schedules of values and budget definition, in conjunction with the design team and other functionaries within the project group. Will take part in vendor negotiations, vendor selection and assist in the management of communications and correspondence between the relevant parties, both internally and externally.  Will be responsible for compliance of all rules and regulations as applicable.  The position reports to the Project Manager.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

-Responsible for the development of various projects and coordination of the technical and administrative aspects with internal and external stakeholders relevant to the project requirements. 

-Use processes, technical abilities and people skills to assist project managers to motivate, encourage and advise group members to achieve optimum results.

-Lead the research and analysis of data, drawings and other reference documents required for the creation of budget matrix for review and approval by the Finance Manager

- Work with Product Development, Design, Finance, and Scheduler to ensure project timelines are defined based on required project deliverables.

-Assist project manager with follow up of project scheduler, ensuring tracking is occurring as scheduled to ensure accurate reporting.

- Management and coordination of timely return of drawings from contractors for approval and the coordination with all members in the matrix management.

- Ensure that all owner’s supply ordered for installation is appropriate, cost effective and in accordance with applicable industry codes.

- Stay current on relevant technical research and projects; seek information and evaluate new technology for use on the island, and run test programs on such equipment together with manufacturing company and RCCL teams.

- Analyze the management of document methods in order to improve workflow, simplifying reporting procedures, or implement cost reductions.

- Build composite reports from individual reports of team members. Prepares management presentations and collects data to do so.

- Scheduling of all project meetings, including executive meetings.

-Report to management about the current workflow, and communicate any possible issues with too much work going to our agencies.

-Work with freelancers and temporary contractors, getting them up to speed on jobs they will have assist with.

-Track in-progress work and insure necessary hand-offs are happening and deadlines are being met.

-Anticipate potential bottlenecks and come up with contingency plans

-Coordinate external partners and internal team members to keep work moving and make adjustments as needed.

-Help track invoicing especially when it comes to additional costs due to rush fees.

-Responsible for ad-hoc projects assigned.

 

Job Requirements

QUALIFICATIONS:

- Bachelor’s degree or equivalent required in Industrial Engineering, Marketing or Project Management.

-PMP (preferred)

 

KNOWLEDGE AND SKILLS:

-4+ years of relevant experience required.

- Requires strong teamwork, cooperation, and collaborative skills to develop rapport within the department, with other departments, and externally.

- Be a self-motivated individual, with ability to mobilize people and resources to action, within a high-paced environment

- Good ability to proactively identify problems and reviewing related information to develop and evaluate options and implement solutions.

 - Possesses logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.

- Ability to work under tight schedules and to endure challenging situations in high stress situations.

- Working knowledge of computer software for communication and presentations. 

- Strong interpersonal skills absolutely required, as well as the ability to be a strong team player. -- Working knowledge of Microsoft Office and familiarity with AutoCAD system.  

- Must be proactive, organized and have the ability to take initiative, be multi-faceted. Will be required to use and develop project specific software for project development, management and tracking.

- Ability to read and write fluent English is required. Ability to speak other languages a plus.

- Ability to work under pressure in a fast-paced environment.
