Job Description

Position Summary / Job Purpose:

Responsible for processing a high volume of transactions for Charters, Incentive and Specialty Groups for the Azamara brand and provide Director, Charter & Incentive Sales and Director, Field Sales (and their respective assigned SBDMs, Travel Partners and clients,) support in all selling and service activities of these groups. This position will serve as the day-to-day main contact for the client, and will coordinate the onboard activities requested by the client. The goal is to ensure satisfaction and operational excellence, and maximizing revenue performance. This position includes allocating and maintaining stateroom inventory, air gateways, pre-and post-hotel packages, dining assignments, entering manifests, applying payments and providing quality service to external customers by addressing complaints and resolving by phone, e-mail or written correspondence. This Specialist position is responsible for the Group Partner Advocates who maintain ownership of Travel Partner/Accounts, and is responsible for training, assisting and improving group sales and increasing revenue for accounts.


Essential Duties and Responsibilities:

  • Owns and proactively manages all aspects of inventory and pricing for specialty, incentive and groups and charters.
  • Monitors, coaches, trains, and develops Group Partner Advocates for the Azamara brand.  Addresses issues and complaints providing effective resolution.
  • Researches the logistics and costs of amenity requests, processes all pertinent materials to be sent on board the ships and is responsible for communicating to all supporting departments in relation to amenity/function requests. 
  • Establishes business relationship between assigned accounts and Azamara and anticipates the needs of assigned accounts and advises them of opportunities to sell additional business.  For Charters and as needed, meets and greets guests at the terminal, ensuring that their on boarding process is seamless (i.e. documentation, check in, escorting guests onboard).
  • Reviews charter contracts and compares information against AS/400 to ensure all information is correct.  Corrects taxes if applicable.
  • Provides confirmation to other departments (GPS, Purchasing, F&B) of all charge account numbers entered to ensure all departments are paid accordingly.
  • Responsible for reconciliation of all financial transactions for group business, including but not limited to cross referencing of payments, processing refunds as necessary and ensuring accurate pricing.
  • Liaises between the vessels and shoreside about special group needs and documents all group requests, in one central location.
  • Utilizes and performs letter of credit step down process, charter payment follow-up and post sailing reconciliation.
  • Communicates with Travel Partners on behalf of Business Development Managers to assist in closing business, educate Travel Partners on the brand's products, promotions and selling tools; introduces and/or creates brand awareness and identifies/qualifies selling opportunities.
  • Some domestic and international travel to educate Group Producers, meet with Incentive and Charter clients, escort site inspections, escort chartered voyages.

Job Requirements

Education, Experience, Knowledge & Skills:

  • Bachelor’s degree (BA) from a four-year college or university and one year of related experience; or an equivalent combination of education and experience required.
  • At least one year of experience with full ship charter coordination and group booking coordination.  Prior experience in working with the head of sales and the head of reservations to ensure a seamless operation.
  • Previous Groups experience required.

LANGUAGE:  Ability to write reports, memos and business correspondence. Ability to read and comprehend complicated instructions, short correspondence, memos and procedure manuals.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

INTERPERSONAL:  Ability to work, interact, and communicate with external/internal customers at all levels.  Ability to build and maintain successful business relationships with the most valued external customers as well as co-workers to successfully close business and service customers¿ needs.

MATHMATICAL:  Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to calculate figures and amounts such as discounts, commissions, and percentages.  Ability to understand and explain a complex group accounting.

REASONING ABILITY:  Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.  Ability to understand and communicate government regulations.  Ability to analyze problems and follow a logical course for its resolution.

DECISION MAKING:  Ability to make decisions in situations where multiple variables and tight deadlines exist, assess complex situations and make mutually beneficial decisions where limited standardization exists, and assess the most complex and non-routine situations.

SYSTEMS:  Knowledge of AS400 or similar reservations system required.  Microsoft Word and Lotus Notes experience preferred.
