Position Summary

The essential function of the VIP Event Specialist is to support the planning, organization, and execution of events supporting the Casino VIP segments and Onboard Revenue areas such as Retail, Art, and special Weddings.  The role will oversee the communication to shipboard teams of upcoming events as well as the organization of activities and execution as it pertains to the group setup. Position is required to be flexible, as working schedule may include evenings, weekends and frequent travel.

  • Responsible for groups set up and monitoring the stateroom inventory of each group. Coordinate all aspects of group reservations, assignments, and entering manifests.
  • Communicate with the shipboard team for special arrangements required onboard.
  • Monitor/submit expense reports for events. Provides support of every aspect of the cruise planning process: including point of sale, all service needed on booking, applying payments, pre-cruise group reconciliation and addressing any post cruise issues.
  • Liaises with assigned group leaders and complete all requests from external clients to ensure that all group requests are met and properly executed.
  • Coordinate with internal departments such as F&B, entertainment, shore ex and GTO to facilitate special events.
  • Order collateral and follow-up with suppliers or internal customers to ensure products are ordered/shipped and/or received in a timely manner.
  • Investigate guest complaints on bookings, service, billing, air or credit. Examines booking history, accounting information, related documents and correspondence with customers.
  • Prioritize internal requests and demands from Partnerships, Alliances, Club Royale, and other Onboard Revenue management.
  • Able to travel frequently to land-based and shipboard events to host and represent Royal Caribbean.
  • Post group analysis and accounting process for rebates, credits, and group reconciliation.
  • Adhere to all SQM and audit procedures.

 

Job Requirements

Requirements

  • Minimum 3+ years' experience in casino operations, sales or travel-related operations.
  • Financial accounting or strong mathematical skills.
  • Excellent interpersonal and organization skills.
  • Strong written and verbal communication skills for a multicultural environment with all levels of customers, employees and management.
  • Strong computer skills including email programs, internet programs, Microsoft Access, PowerPoint, Advanced Excel and the RCCL reservations system.
  • Present extensive and complicated procedures and instructions either One on One or to groups' Excellent written and verbal skill; literacy and fluency in English.
  • Spanish helpful but not required. Proficiency in PC operations, including Windows, Word and Excel.
  • Knowledge of Hotel LMS, SDS and Direct Marketing systems would be an advantage.
  • Detail oriented.
  • Must possess organizational and time management skills with ability to quickly adjust priorities as new developments arise.
  • Ability to deal professionally with internal and external guests.
  • Ability to deal with problems while multi-tasking.
  • Ability to organize time and work independently and as a team.
  • Knowledge of AS400 or similar reservations system required.
  • Microsoft Word, Microsoft Excel, Microsoft Access and Lotus Notes experience preferred.
  • Expert level ability to use good judgment in order to resolve issues, contribute to decisions on changes to programs and policies and the ability to see the big picture and long term effects of decisions made.
  • Ability to work well in a team.
  • Experience with reporting, maintenance, analysis, and training making training materials.
