Position Summary:

The main objective of this position is to support the Director of Medical Operations (DMO) in all matters that pertain to the administration and use of electronic medical records. This includes the administration of the access that is granted to different parties according to the level of access that each position has to confidential information. The holder of this position, as guided by the DMO, must ensure that H.I.P.P.A regulations are observed at all times when considering who has access to specific information. In addition, the holder of this position will support the medical operation providing services to our guests and crew such as responding to the requests for copies of medical records ensuring that these requests have the necessary supportive documentation, assists the DMO in the custody of records, cooperates with our legal department in the access to information that pertains legal cases. In addition, this employee has the responsibility to be updated on the new versions of the software, study and understand how to execute the different functions of the program in order to be able to provide the necessary support to all users.


Job Requirements

Essential Duties and Responsibilities:

  • Under the direction of the DMO, administrates all functions of the electronic medical record system in compliance with HIPPA
  • Provides access to different users based on the level of access that each person has to confidential information. This range goes from no access to confidential information at all to full access to all the confidential information. Provides log in information and passwords to the different users as authorized by the DMO or the Chief Medical Officer and Vice President of Medical and Public Health
  • Keeps a good communication and professional relationship with the electronic medical record software producer
  • The holder of this position must keep updated on the different changes that will come with each new version of electronic medical records.
  • Studies, understands and masters the use of electronic medical records.
  • Supports the Medical Operation by educating users about the correct way to use the software and answers their questions
  • Informs the DMO and the software producer of any issues or irregularities that are noticed in the electronic medical record system
  • Serves as a communication bridge between RCL and the electronic medical record software producer
  • Provides copies of medical records to the patients or their legal representatives ensuring that the adequate documentation is presented in order to ensure that the records are given to the right patient, right person or right legal representative
  • Leads the training of all electronic medical record users including new hires who are not familiar with the software that RCL uses
  • Prepares medical statistical information using the electronic medical records software as requested by the DMO & CMO, VPMPH
  • Develops ongoing electronic medical records orientation program for all employees including newly hired personnel
  • Uploads and updates medical forms on the Medical Operations Training site
  • Processes and submits medical invoices for the Medical operations department such as the ones that are generated after a Tele Medicine consultation
  • Provides medical records and invoices information to all guests seeking medical insurance reimburses
  • Works in conjunction with the Manager of Clinical Support and Training to educate the onboard teams as needed
  • Cooperates in different aspects for the preparation of the yearly International Academy of Cruise ship Medicine conference IACSM

Qualifications, Knowledge, and Skills:

  • High school graduation with excellent written and verbal communication skills
  • Two years of experience and ability to work with consistency and accuracy with computer based applications and programs such as MS Word, Excel and other office based software products
  • Strong communication skills, written and verbal
  • Demonstrated skills in database management
  • Experience with software and IT systems (Sea Care, Peoplesoft,...)
  • Computer skills necessary to accomplish requirements of position including word processing, related facility software and internet research tools
  • Focus on details and ability to work with teams remotely
  • Ability to work with MS Office products, Word, Excel and other computer based software products
  • Basic understanding of the main aspects of physician and nurse education programs, nationally and internationally
